Fox Veterinary Hospital has put these policies in place for our animal hospital. If you have questions about any of the policies or need clarification, we welcome you to contact us directly. Thank you for your understanding and support as we work to provide the highest standard of veterinary care to all pets in our community.

Appointment Policies

Why do we have these appointment policies at Fox Veterinary Hospital? Missed appointments and last-minute cancellations prevent other pets from receiving timely care. These policies ensure fairness so that we can provide the best service possible to all patients.

Appointment Reminders

We offer appointment reminders by text, email, or phone. Please make sure your contact info is up to date. If reminders are missed due to outdated information, steps will still be taken according to the following policies.

Appointment Cancellation

  • Requires at least 24 hours’ notice for routine appointments and 48 hours for surgeries, dental procedures, or extended services.
  • To cancel or reschedule, please call us directly. If after-hours, leave a voicemail with your full name, pet’s name, and current appointment time and date.

No‑Show / Same-Day Cancellation

A no-show or same-day cancellation is defined as missing your appointment without notice or cancelling less than 24 hours in advance (or 48 hours for select appointment types).

  • First Time: No charge, but noted in your file.
  • Second Time: A $50 fee must be paid before booking another appointment.
  • Third Time: $50 fee applies again, plus a deposit will be required to book future appointments. Repeat offenses may result in dismissal from our practice.

Late Arrivals

Arriving 10+ minutes late may result in your appointment being rescheduled and/or a late fee. We will do our best to accommodate, but cannot guarantee that we can still see your pet.

Surgical & Dental Procedures

Require 48 hours’ notice for cancellation or rescheduling.

  • First Missed Procedure: Noted in your file; must reschedule with approval.
  • Second Time: $100 missed surgery fee and $100 prepayment required to reschedule.
  • Third Time: $100 fee applies again, plus a 50% deposit of total estimate is required to reschedule.

New Client

  • All new clients are required to prepay the office visit fee at the time of scheduling.
  • This payment is non-refundable, even if the appointment is missed or canceled.

This prepayment reduces no-shows and ensures appointment availability for serious medical needs.

Multi‑Pet Appointments

For three or more pets in one visit, a non-refundable deposit per exam is required when booking. This deposit is applied to the final bill at the end of your pets’ appointment.

Payment of a final bill is due at the time of services rendered. 

Payment Authorization

Fox Veterinary Hospital does not accept written or third-party authorization to use another person’s credit card, debit card, CareCredit card, or checks. Payment must be made by the cardholder who is physically present or by a person using a CareCredit card issued in their own name.

Phone Payment

Phone payments are limited to prepayments only.

CareCredit

If someone else needs to pay on your behalf, CareCredit allows you to add an Authorized User who will receive their own card. You can add an Authorized User by signing in at https://www.carecredit.com/ and going to Services, then Authorized Users, or you can call (866) 893-7864. The primary cardholder remains responsible for all charges.

Authorized Agent Policy

To protect your pet and make sure we can provide timely care, Fox Veterinary Hospital requires that only the Primary Owner or an Authorized Agent can approve veterinary treatment and receive medical information.

Prescription Policy

If you are planning on purchasing any prescription product from a pharmacy that is not Fox Veterinary Hospital’s My Vet Store Online, Hills to Home, or directly from the clinic, you will be provided with a written prescription to send to the pharmacy of your choosing. We do not communicate directly with Chewy or any other outside pharmacies.

Rabies Policy

Rabies is a fatal, zoonotic disease that threatens animals, clients, staff, and the community. Fox Veterinary Hospital is obligated to protect public health, comply with Ohio and local rabies regulations, and safeguard our doctors’ professional licenses. This policy explains our requirement for rabies vaccination as a condition of routine veterinary care.

This Policy Applies To

  • All cats and dogs seen at Fox Veterinary Hospital
  • All routine and non-emergency services, including wellness care, sick visits, elective procedures, and grooming-type services performed in the clinic such as nail trims
  • All doctors, RVTs, assistants, and office staff involved in scheduling and patient intake

Local Laws Require Rabies Vaccination

  • In the city of Elyria, any owner or harborer of a dog, cat, or any other animal for which a rabies vaccination is available must have that animal vaccinated by a licensed veterinarian.
  • In Lorain, no person may own, keep, or harbor any dog or cat over four months of age unless it has been immunized against rabies, and vaccination must be done by a qualified veterinarian.
  • Lorain County General Health District further specifies that all dogs must be vaccinated against rabies by three months of age by a licensed veterinarian.

Quarantine and Euthanasia Risks for Unvaccinated Animals

  • Under Ohio Administrative Code 3701-3-29, dogs and cats that bite a person must be quarantined and may be required to be vaccinated upon entry into quarantine and must have current rabies vaccination status before release.
  • If an unvaccinated pet is exposed to a known or suspected rabid animal, the local health commissioner can require strict, months-long isolation or humane euthanasia.
  • Ohio law and Lorain County Public Health require that all animal bites be reported to the health department, which then verifies the animal’s rabies vaccination status and oversees quarantine.

Rabies Vaccination is Required for Care

Fox Veterinary Hospital requires current rabies vaccination, administered by or under the supervision of a licensed veterinarian, for all dogs and cats 16 weeks of age or older presenting for non-emergency care. “Current” means within the interval recommended on the vaccine label and consistent with local ordinances (typically 1- or 3-year vaccines depending on the product and prior history).

Verification of Rabies Status

At scheduling and check-in, staff will ask if the animal has a current rabies vaccination and request documentation (rabies certificate or proof from a previous clinic).

If no proof is available, the animal may be scheduled only if the owner agrees that rabies vaccination will be administered at the visit before or at the time of other services. If the owner refuses, staff must politely explain that clinic policy and local law require vaccination, and the appointment will be cancelled or converted to a rabies-vaccine-only visit (if the owner changes their mind).

Refusal of Rabies Vaccine

If an owner declines rabies vaccination for an eligible animal, Fox Veterinary Hospital will not provide non-emergency veterinary services for that animal. This includes wellness exams, sick visits, elective procedures, dental procedures, grooming-related care, and nail trims. We will document the discussion in the medical record (including that vaccination was recommended and declined) and provide the owner with information on local rabies requirements and the option to return for vaccination in the future.

In true life-threatening emergencies, the attending veterinarian may stabilize the animal and will:

  • Strongly recommend rabies vaccination as soon as the animal is stable; and
  • Document any refusal and notify the local health department as needed if there is a bite or exposure concern.

Medical Exemptions

True medical contraindications to rabies vaccination are rare but may exist (for example, severe documented vaccine reaction or specific immune-mediated disease). In such cases, the veterinarian may consider a temporary medical exemption if:

  • The condition is documented in the medical record, and
  • The veterinarian issues a written statement explaining the specific medical reason the vaccine is contraindicated at that time (consistent with how some county health regulations handle contraindications).

Even with a medical exemption, owners must be informed that local health authorities may not recognize exemptions for quarantine decisions and the animal may still be subject to strict quarantine or euthanasia if exposed to rabies or if they bite a person.

Fox Veterinary Hospital reserves the right to limit services even with a medical exemption if staff safety or public health is at risk.

Bite or Exposure Incidents in the Clinic

If a dog or cat bites or otherwise potentially exposes a person to saliva, staff must:

  • Immediately report the incident to the supervising veterinarian and the Practice Manager.
  • Complete bite documentation required by Lorain County Public Health, and ensure reporting to the health department within the required timeframe.

The veterinarian will provide the owner with instructions regarding quarantine/observation, and any additional testing or vaccination required by the health department.

Surgery Policies

Surgical Scheduling Requirements

Prior to scheduling surgery, your pet MUST have completed the following: 

1) Physical Exam by DVM

  • Lump/Mass – within 2 months
  • Dental Cleaning – within 6 months
  • Spay or Neuter – within 6 months

2) Appropriate Core Vaccinations for Age/Species

  • Feline: FVRCP, Rabies
  • Canine: DA2PP, Leptospirosis, Bordetella, Rabies

3) Appropriate Labwork for Age/Species

  • Feline: If over 7yrs old, CBC + Chem 25
  • Canine: If over 7yrs old, CBC + Chem 25

Overnight Stay

We require all surgical patients to stay overnight prior to the planned procedure. There are many reasons why we choose to practice medicine this way, including:

  • Reduced Fear, Anxiety, and Stress (FAS) on the Procedure Day: Many pets are very excited from the car ride here, and their increase in adrenaline will override a portion of the medications we use. When the pets are here overnight, they are used to their surroundings and oftentimes we can (and do) use less anesthesia for them.
  • 100% Compliance on Feeding Restrictions: Patients undergoing anesthesia are to withhold food for 12 hours prior to the procedure. If a patient eats breakfast and then is anesthetized, there is a greater risk of vomiting and then choking. This risk is reduced when we ensure that the patient has zero access to food overnight.
  • Medications Given Pre-Operatively: For example, NSAIDs for pain and anti-emetics to control nausea can be given well ahead of time and are fully absorbed by the next morning.

There MAY be exceptions made for the following conditions, but only at the discretion of the DVM performing the procedure:

  • Diabetes Mellitus (Controlled)
  • Epilepsy (Controlled)
  • Severe Fear, Anxiety, and Stress, resulting in self-inflicted injury or the threat of bodily harm to staff

General Policy

Fox Veterinary Hospital has a zero-tolerance policy for disrespectful, inappropriate behavior of a client toward our staff, doctors, and clinic policies. If a client is disrespectful, the client will receive a behavior warning letter or a termination of the veterinary-client-patient relationship letter. Please be kind!
